Who we are
Serenica is the online mental health platform of Meeting Matters Clinic. When you use this website to find a psychologist, book an appointment, or contact us, Meeting Matters Clinic decides how your information is used — in data protection terms, we are the data controller.

What we collect
When you book an appointment: your name, phone number, age, and optionally your email address; the psychologist, date and time you choose; and your answers to the intake or assessment form shown during booking.
When you use the "find a match" questionnaire: the preferences you select, such as the concerns you want help with, your preferred language, session format and availability. These are used to rank psychologists for you. Answers to the safety question are not stored on our servers or placed in the web address.
When you contact us: your name, email address, optional phone number, the topic you select and the message you write.
When you message us on WhatsApp: your phone number and the content of your messages with our assistant or our staff.
When you subscribe to updates: your email address.
Automatically: your IP address and standard server log information, and cookies that keep you signed in and protect forms against cross-site request forgery.
Health information
Some of what you tell us — the concerns you are seeking help with, and anything you enter in an intake or assessment form — is health information, and is treated with more care than ordinary contact details. We collect it in order to provide you with care and to match you with an appropriate psychologist. We do not use it for advertising, and we do not sell it.

- To keep clinical records as required of a healthcare provider
- To send you updates, where you have asked to receive them
Who else sees it
The psychologist you book with sees the information needed to provide your care. Beyond that, we share information only with service providers who operate parts of this platform on our behalf, and only as far as their role requires:
- Our hosting provider, which stores the website and its database
- Twilio, which delivers our WhatsApp and SMS messages
- OpenAI, which powers the automated replies in our WhatsApp assistant
- Our payment provider, which processes card payments. We do not store your full card details.
We may also disclose information where the law requires it, or where there is a serious risk to someone's safety.
Your rights
You can ask us to give you a copy of the information we hold about you, correct anything inaccurate, delete information we no longer need to keep, or stop sending you updates. Write to info@serenicaclinic.com and we will respond within 30 days. Clinical records that we are required to retain cannot always be deleted on request; where that applies we will tell you why.
How long we keep it
Clinical and appointment records are kept for as long as we are required to retain them as a healthcare provider. Enquiries and newsletter subscriptions are kept until you ask us to remove them. Server logs are kept for a short operational period.
Security
This site is served over an encrypted HTTPS connection. Access to patient records is restricted to staff and psychologists who need it for your care, and is controlled by individual login accounts. No online service can promise perfect security, and we do not claim to.
Children
Where an appointment is booked for someone under 18, we expect it to be arranged by a parent or guardian, who is responsible for the information they provide.
Changes
If we change this policy we will update the date at the top of this page.
